Building a Workspace Metrics View

The Workspace metrics view is one dashboard covering everything your Workspace runs, rather than a single AI Employee. It answers questions such as how many workflow runs happened last month across the board, which tools get called most, and how that compares with the Workspace next door.

It is the same editor as the per-AI-Employee view, working on a different dashboard and a wider set of data. This page covers what is specific to the Workspace view. For the chart builder itself, read Building a custom metrics view first: everything there about datasets, measures, chart types, drafts, publishing, and reverting applies here unchanged.

Where to find it

Open Metrics in the main navigation. The page has up to three tabs:

TabContents
PlatformThe Workspace metrics dashboard. This is the tab this page is about.
TriggersEvery scheduled, webhook, and poll trigger in the Workspace, with delivery history and health.
IntegrationsConnections and tools across the Workspace. Visible to System Admins only.

Ema creates the dashboard the first time someone opens the tab.

Who can reach it and who can edit

Reaching the page needs a platform-admin role or the metrics viewing capability. Editing the dashboard needs one of the editing roles, the same set as the per-AI-Employee view: System Admin, Builder Admin, User Admin, or Builder. Anyone else gets the dashboard read only, including the export and drill-down controls.

Editing is on for admins and builders. As on the per-AI-Employee view, you do not have to ask for it. If an admin still sees a read-only dashboard, with no Edit dashboard or Publish control, chart editing has not been enabled for the Workspace.

Choose which Workspaces to measure

If your Workspace has child Workspaces you are authorized to see, the dashboard's filter bar carries a Workspace picker with three mutually exclusive choices:

  • This Workspace only. The default.
  • Every Workspace you can see. A roll-up across your Workspace and its authorized children.
  • A set you pick. Search by name and tick the ones you want.

Changing the selection refetches every chart at once, and the choice rides in the page URL so you can share the exact view you are looking at. Ema re-checks your authorization for the requested Workspaces on the server, so the picker can only ever narrow what you are already entitled to read.

If your Workspace has no children you can see, the picker does not appear.

Selecting nothing shows nothing. With no Workspace ticked the charts have no scope to query and the dashboard says so. Tick at least one.

Edit the dashboard

Select Edit dashboard, then work exactly as described in Building a custom metrics view:

  • Add opens Chart and Text Block.
  • The chart builder asks for a dataset first, then a chart type, then at least one measure.
  • Drag and resize tiles, then Save layout.
  • More actions (⋮) holds Save as template, Theme settings (colors and chart defaults for the whole dashboard), and the reset action.

The datasets offered here are Workspace-wide, so a measure counts across every AI Employee in scope rather than one.

Draft, publish, and revert

Identical to the per-AI-Employee view, and worth restating because the audience is wider:

  • Your edits go to a draft that only editors see.
  • Publish is the only action that changes what readers see.
  • Discard draft throws away every unpublished change and restores the published version.
  • History lists every published version, newest first, with its author and note. When a draft is pending, it appears at the top of the list marked Unpublished. Revert on any past version stages that version into your draft; you still have to publish it. Revert on the live version while a draft is pending discards the draft and returns immediately to the live version, with no publish required.
  • Reset to default stages the default Workspace chart set onto your draft, again pending a publish.

Because this dashboard is read by more people than any single AI Employee's, publish notes earn their keep here. Select the note icon beside Publish and describe the change before you publish it.

More than one admin edits this dashboard. There is one draft per dashboard, so a second editor builds on the first one's unpublished work and Ema warns them before they do. If the warning names someone, check with them before publishing: your publish makes their staged changes live too.

Save a view as a template

The Workspace dashboard can be saved as a reusable template, which the per-AI-Employee view cannot do.

  1. In edit mode, open More actions (⋮) and select Save as template.
  2. Give it a name, and optionally a description saying when it should be used.
  3. Select Save template.

The template captures the dashboard's charts and layout as they stand. It then appears under Your saved templates in the template picker, alongside the templates Ema ships, for anyone in the Workspace creating a dashboard.

A template is a copy, not a link. Saving a template takes a snapshot. Later edits to this dashboard do not flow into it, and editing the template does not change any dashboard already created from it.

You can delete a saved template from the template picker. Deleting a template leaves every dashboard created from it untouched.

Filters, date range, and export

The reading controls behave as they do on an AI Employee's Metrics tab. They are personal to your session and are never part of the draft.

  • One date range for the whole dashboard, defaulting to the last 7 days.
  • Dimension filter chips, with presets for combinations you use often.
  • Comparison against an earlier window.
  • Refresh data, with an on-screen stamp of how old the data is.
  • Download, which exports the charts you pick as one multi-sheet workbook or a ZIP of CSV files. Readers can export too.

Exported file names are led by the Workspace name, so a roll-up across several Workspaces does not produce a folder of identically named files.

Troubleshooting

SymptomCause and fix
The Metrics item is missing from the navigation.Your role has neither the platform-admin tier nor the metrics viewing capability.
There is no Integrations tab. That tab is System Admin only. The other two tabs work as normal.
No Edit dashboard control.Editing is not enabled for your Workspace, or your role is read only.
No Workspace picker in the filter bar.Your Workspace has no child Workspaces you are authorized to view.
Every chart is empty after a Workspace change.Either no Workspace is selected, or the selected ones have no data in the date range.
Your change is not visible to colleagues. It is still a draft. Publish it.
A saved template did not pick up a later edit.A template is a point-in-time snapshot. Save a new one.
You reverted a version and readers still see the old view.A revert only stages. Publish to make it live.
The draft row shows in history but you did not make any edits.Another editor saved changes before you opened the panel. Check with them before discarding.
